Storage locations
A location is anywhere you physically store product: the walk-in, dry storage, the bar, a front-of-house fridge, the freezer. Counts are done one location at a time, so your locations should match how you actually walk the building.
Adding locations
Go to Locations (managers and admins) and add each place you’d stand in while counting. A location is just a name, like “Walk-in fridge” or “Dry storage”; there are no address or notes fields to fill in. Add the places you store inventory and move on.
Every item is assigned to one or more locations, which is what puts it on that location’s count sheet. An item stored in two places shows up on both.
Count walk order
By default a count sheet lists items alphabetically. Under Count walk order you can set, per location, the order items appear on the sheet, meaning the order you physically pass them as you walk the room. Use Set count order on the location to arrange it. Once set, counting goes faster and you’re less likely to skip a shelf. Full guide in Counting inventory.
Which locations a full count must cover
A full inventory count is meant to cover the whole shop at once (month-end, say). The Full count locations section decides which locations that count has to include. Each location has a toggle:
- Required: the location must be counted before a full count can be submitted.
- Excluded: the location is skipped and doesn’t block submission. Good for something like an ice-cream freezer you don’t count with everything else.
The app won’t let a full count be submitted until every required location has been covered, so nothing gets missed by accident.
Count links and QR codes
Under Count links you can copy a link for a location (or for a full count) and turn it into a QR code. Scanning it opens, or resumes, that count directly. Stick one on the walk-in door and anyone can start counting without hunting through menus.
Retiring a location
Stop using a location by deactivating it rather than deleting. If any history or items still point at it, the app blocks the delete on purpose and asks you to deactivate instead, which keeps past counts intact.
